Change Management Enhancement Functionality

Projects deliver outputs and outcomes. These introduce change into an organisation as part of delivering the desirable benefits. Organisational change often fails, so it is important to consider the impact of change. What changes will result from projects, and should these be managed? Afterall, we want to drive success for the organisation, and this is realised through successful change.

The Change Impact Log aids project managers in monitoring the amount of change resulting from project outcomes through the best practice POTI framework (Processes, Organisation, Tools, and Information).

For each change impact, document the Burning Platform i.e. the current state and why the change is necessary, and the Vision i.e. the future state once the change has been implemented. Project teams can now extend their focus to delivering change, rather than just project outputs.

The Change Impact Log is a seamless addition to the project logs.

Dynamic Power BI reports enable great visualisation of the impact of change by project, programme, and portfolio across the organisation. Management can facilitate successful change by using reports to assess the amount of change to impact the organisation over time, consider the readiness for additional change, and pinpoint periods of significant transition.

The POTI change management model uses Processes, Organisation, Technology, and Information as a framework to define the scope of change for a project, breaking down a desired future state into these four interconnected components. By analysing the existing and target states within these four areas, project teams can create a comprehensive roadmap for transformation, better manage the complexity of organisational change, and increase likelihood of success.

The POTI components are:

  • Processes – The ‘how’ of the organisation – the ways things get done, and the workflows required to achieve objectives.
  • Organisation – The ‘who’ – the people, roles, skills, capabilities, organizational culture, and suppliers involved.
  • Technology – The ‘tools’ – the systems, software, hardware, and other technologies needed to support the changes.
  • Information – The ‘data’ – the information, reports, metrics, and data requirements needed for controlling, assessing, and managing the organisation.
